Student Services Officer is a position being advertised by the Department of Microbiology and Immunology. This individual would be responsible for the administration, implementation, and interpretation of university and departmental policies and procedures pertaining to housing, financial aid, admissions, advising, career counseling, registrar services, visa services, student life, and academic services. Effectively identify, elucidate, and resolve complex or highly visible issues that have substantial impact and significance across multiple domains. This requires the application of advanced technical and professional knowledge and the exercise of independent judgment.

The Student Services Officer (SSO) serves as the primary liaison between mentors and prospective and current graduate students and postdoctoral scholars. At present, 35 graduate students and 25 postdocs are assisted by the SSO in collaboration with the administrative associate of Student Services. administration of a long-standing departmental NIH T32 Training grant and all administrative and financial administration for the graduate and postdoctoral programs fall under the purview of the SSO.

The primary duties of this role consist of overseeing the expenditure of programmatic funds in adherence to relevant government and university policies, fulfilling the obligations of sponsors regarding reporting and compliance, and ensuring the timely completion of administrative deliverables. In addition to advising faculty and students, the SSO oversees the degree progress of graduate students, ensuring that program and university requirements and milestones are met on time.

The SSO administers funding for all students in the Department and coordinates support for student travel, including the processing of visas and arrangements for visiting students. All facets of graduate student appointments are under the purview of the SSO, which includes the administration of leaves of absence, department transfers, reappointments, and terminations. These responsibilities are under the supervision of the SSO for postdoctoral scholars and are primarily managed by the Student Services administrative associate. Furthermore, the SSO is responsible for coordinating the graduate program admissions process for Microbiology & Immunology.

The responsibilities of this role encompass the management of M&I courses, such as Bulletin entry, room scheduling, and course setup. The SSO provides students with information regarding funding opportunities and campus community resources in coordination with the Office of Postdoctoral Affairs and the Office of the Vice Provost for Graduate Education, among others. An administrative associate who assists with the student services program of the department is under the co-supervision of the SSO.

The role will be situated on the Stanford campus and will involve a hybrid work arrangement, which combines in-person and remote work. Arrangements are susceptible to modification in light of operational requirements.
